  • This position will work onsite the Grand Forks, ND campus.

Purpose of Position

The Graduate Success Coordinator position exists to support the academic and administrative needs of graduate students in the College of Education & Human Development (CEHD). This role functions as a critical liaison between students, faculty, and the School of Graduate Studies (SGS) to ensure student success, retention, and timely degree completion. The position provides advising, administrative support, and policy guidance while coordinating graduate program logistics, facilitating student progress monitoring, and assisting with recruitment and enrollment efforts.

Duties & Responsibilities

Supporting Graduate Student Success

  • Advise students on UND, SGS, and CEHD policies, procedures, and resources, including financial aid, registration, and forms.
  • Maintain frequent communication with graduate students to increase retention and encourage timely registration.
  • Monitor student progress, maintain records, and proactively advise students on next steps, including academic standing and degree completion.
  • Partner with faculty to support students in academic difficulty and ensure regular advising meetings.
  • Connect students to campus services as needed (e.g., One-Stop) and facilitate background checks when required.
  • Process student registrations, petitions, program changes, withdrawals, readmissions, and leaves of absence.
  • Track enrollment status, transcripts, and eligibility for graduation, including dual-degree students and those approaching program limits.
  • Maintain student records in PeopleSoft, SGS database, and Perceptive Content.
  • Review graduation applications, conduct degree audits, and process final forms for degree completion.
  • Facilitate commencement preparations, including program editing, student notifications, diploma processing, and event coordination.
  • Engage in professional organizations related to advising and graduate education.
  • Develop and maintain CEHD student policy handouts.
  • Liaison with SGS as needed regarding graduate students. 

Administrative Support of Graduate Programs and Degrees

  • Serve as the first point of contact for prospective students, responding to inquiries via email and program finder, and assisting when faculty are unavailable.
  • Monitor and track graduate applications, ensuring timely review and response by departments.
  • Utilize Salesforce to manage applications, communicate with applicants, and facilitate Graduate Faculty review.
  • Coordinate with admissions to develop and maintain college-specific communication plans to encourage application completion.
  • Submit Graduate Faculty admission recommendations to the School of Graduate Studies.
  • Assist with on-campus recruiting events and provide ongoing communication about graduate program events to the graduate program community.
  • Liaison with SGS as needed regarding programs and degrees.

Administrative Support for CEHD Graduate Directors and Faculty

  • Prepare drafts of graduate curriculum and policy changes for Graduate Faculty review and approval.
  • Maintain and update course enrollment records, locations, and permissions while coordinating annual course rotation reviews with CEHD Graduate Degree Coordinators and the Academic Programs Coordinator.
  • Monitor and ensure the completion of required student and faculty committee forms and signatures.
  • Distribute and collect department annual review forms for PhD students and advisors, sending reminders as needed.
  • Facilitate Graduate Faculty registration and assist in organizing faculty recruiting events.
  • Assist with scheduling defenses and exams, providing links, publishing dates, and sending reminders.
  • Track graduate student academic progress, review grades, and alert advisors of non-compliance with academic policies.
  • Organize and conduct monthly Graduate Coordinator meetings and participate as a member or ad hoc.
  • Facilitate annual GRA/GTA training and review/update the GTA/GRA handbook as needed.
  • Assist with new graduate student orientation each fall and update recruiting materials annually.
  • Collect and compile faculty and program data for Annual Assessment Reports, Academic Program Reviews, and other CEHD reporting.
  • Review and update graduate program and policy handbooks, ensuring accurate uploads to Blackboard and websites.
  • Liaison with SGS as needed regarding graduate faculty needs or concerns. 

Required Competencies

  • Strong communication and interpersonal skills for advising and collaborating with students, faculty, and staff.
  • Ability to interpret and apply institutional policies and procedures related to graduate education.
  • Ability to work collaboratively with faculty, staff, and students.
  • Attention to detail and accuracy in managing student records, enrollment, and academic progress.
  • Problem-solving skills and proactive decision-making to support student success.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Experience organizing events, meetings, and training sessions for students and faculty.
  • Strong organizational and administrative skills, including record-keeping and process management.

Minimum Requirements

  • Bachelors degree in education, student affairs, higher education administration, counseling or a related field
  • Experience in academic advising, student support services, or higher education administration.
  • Experience with Microsoft Office applications.
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Master’s degree in higher education, counseling, administration, or a related field.
  • Experience with graduate student services, advising, or academic program coordination.
  • Experience with CRM systems such as Salesforce and document management systems like Perceptive Content.
  • Experience with graduate education policies, financial aid processes, and student retention strategies.
  • Proficiency with student information systems (e.g., PeopleSoft), databases
