Purpose of Position

University of North Dakota Procurement & Payment Services (PPS), a collaborative and dynamic team, is searching for a talented Payment Services Specialist to join us. The ideal candidate will possess great attention to detail and be highly motivated to get things done. The Payment Services Specialist position manages the purchasing card (Pcard) program, providing high quality customer-focused service to UND departments, identifying and resolving issues in a positive manner.   The successful candidate will work closely with stakeholders, monitor related financial data, participate in special projects, and supervise student employees. The position reports to the Payment Services Manager within Central Financial Services.

Duties & Responsibilities

  • Administer UND’s purchasing card (Pcard) program including authorizing applications, providing customer assistance to departments, validating required training, authorizing credit limits and waivers, while adhering to North Dakota University System (NDUS) and UND policies and procedures  
  • Manage the purchasing card audit process including conducting sample audits to ensure policy compliance, and overseeing reconciliation of Travel & Expense system with Pcard 
  • Maintain records of Pcard holder misuse/violations; issue violation warnings to cardholders; manage sanctions imposed upon cardholders which may include temporary or permanent card deactivation. Administer appeals and reinstatement process. Chair the appeals review committee, as necessary  
  • Communicate and resolve Pcard issues with JPMorgan, NDOMB, Bank of ND, staff, and faculty 
  • Student Supervisor for student employees working with Payment Services, including hiring, training, managing workers’ schedules and duties.  Develop mechanism for monitoring student employee productivity  
  • Responsible for timely and accurate journal uploads and journal vouchers.  Work with departments to correct errors; review for correct documentation  
  • Other duties as assigned

  • Ability to multitask in a high volume, fast-paced environment while maintaining very strong attention to detail and accuracy
  • Ability to consistently meet all deadlines 
  • Demonstrated problem-solving and analytical skills with ability to analyze a situation, understand it and formulate an action plan 

Minimum Requirements

  • Bachelor’s degree in Accounting, Finance, Business Management or related field 
  • One year experience 
  • Proficient use of Microsoft Office including Word, Outlook and Excel, and in particular, advanced knowledge of data analysis functions of Excel with ability to generate a summary of the data 
  • Successful completion of criminal history records check

Preferred Qualifications

  • Experience working with accounts payable systems 
  • Knowledge of UND policies and procedures 
  • Experience working with PeopleSoft Finance 
  • Experience working with e-Procurement software 
  • Experience working with imaging records 
  • Experience auditing financial transactions
