Purpose of Position

Under the direction of the Department Chair, this position provides program management, academic coordination and administrative support for graduate education in Indigenous Health. This position assists and manages department/program planning, development, accreditation, organizing, staffing, and leading and controlling department activities.

Duties & Responsibilities

Provide program management, academic coordination and administrative support for the Indigenous Health Department

  • Manage all academic processes for the program including, outreach, pre-admissions, admissions, orientation, registration, student progress and advisement, communication, post-admission and graduation.
  • Develop and present reports on program metrics using the PhD program’s academic system.
  • Serve as liaison for all alumni activities in coordination with the SMHS Alumni and Community Relations Office.  Serve as liaison with the Graduate School, Registrar and International Offices.
  • Assist the Chair with drafting correspondence as directed.
  • Communicate with faculty, staff, students, and alumni regarding academic processes.
  • Answer questions from applicants and prospective applicants about admission requirements.
  • Coordinate faculty evaluations and promotions for the committee on promotion and tenure
  • Implement the committee guidelines for promotion and tenure for DIH faculty  

Create and maintain department budget and faculty recruitment

  • Maintain, audit and monitor assigned sections of the department budget, to include auditing and reconciling monthly finance reports.
  • Provide Chair with department budget projections.
  • Create and maintain annual budget and serve as a liaison between the Chair and the SMHS Administration and Finance Office.
  • Work in conjunction with the Chair to coordinate faculty hires.  

Coordinate marketing of the Department of Indigenous Health

  • Under direction of the Chair and in conjunction with DIH staff, organize a comprehensive and innovative marketing plan for the department.
  • Update the departments website and Facebook, following UND and SMHS policies and procedures.
  • Develop and deliver student opportunities that foster a welcoming, safe and inclusive climate.
  • Organize delivery of career services to current students and alumni.  

Lead and manage PhD accreditation, evaluation and assessment activities

  • Ensure standards, processes and regulations are upheld in compliance with UND.
  • Report on program performance and present insights to chair, directors, and faculty.
  • Identify opportunities and evaluation strategies for continual program improvement, to include online program delivery.
  • Assist Chair in annual reviews of curriculum.  

Supervision

  • In consultation with the Chair, recruit, interview and select well-qualified program staff.
  • Ensure all staff members receive orientation and appropriate training.
  • Supervise department staff by providing direction, input and feedback.
  • Implement disciplinary action as needed.
  • Implement UND human resources policies, procedures and practices.
  • Ensure that personnel files for the program are properly maintained and kept confidential.
  • Coordinate graduate assistant hires and work flow.  

Required Competencies

  • Ability to work in a high throughput office while maintaining a positive attitude and easy-going manner
  • Ability to work in an environment where interruptions are expected to occur fairly regularly
  • Ability to communicate strongly both in written and verbal format
  • Ability to read, interpret and follow policies.
  • Ability to develop and execute written plans for recruitment and retention purposes.
  • Ability to take and pass motor vehicle testing to obtain Class C licensure.
  • Ability to manage multiple tasks in a fast-paced environment
  • Knowledge of UND’s policies and procedures
  • Knowledge of Peoplesoft HRMS, Finance, and Campus Connection
  • Ability to work with diverse groups to accomplish the mission of the DIH, SMHS and the university as a whole.

Minimum Requirements

  • Bachelor’s degree
  • One year of experience working with budgets or accounting
  • Three years of experience working in an office setting
  • Experience with Microsoft office (Excel, Word, Outlook)
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Master’s degree in public health, education or related field
  • 3 years’ experience working in higher education
  • 3 years’ experience working in a budget or accounting field
  • Experience working with Indigenous and/or rural populations
