Purpose of Position

This purpose of the Assistant Athletics Director for Business Operations position is to assist with the financial operations of the UND Athletics Department, lead the day-to-day operations of the business office, and educate staff and coaches on UND policies and procedures. This position will also assist with the preparation of financial statements/reports, maintain accounting records, planning, developing and monitoring budgets, human resource and payroll duties, student-athlete medical insurance duties, and participate in planning goals and objectives. This position will also act as liaison with Human Resources/Payroll, Procurement and Payment Services, and Finance and Operations. Must have commitment to compliance with all NCAA rules and regulations. Must provide support and encouragement and ensure the safety and well-being of the student-athletes.

Duties & Responsibilities

  • Athletics business office operations
    • Oversee & assist with day-to-day business office operations including, but not limited to, accounts payable, deposits, purchasing card transactions and statement audits, team trip reports, and medical insurance billing.
    • Reconcile & audit all revenue and expense transactions, determining if they are allowable.
    • Ensure the proper allocation of all transactions and proactively resolve any accounting discrepancies.
    • Provide education to all department coaches and staff of individual sports/programs on the appropriate UND Procurement & Purchasing Services (UNDPPS) rules & policies.
    • Research and interpret regulations, policies & procedures, and disseminate interpretations, determine compliance and enforce policy, law, and regulations as it relates to all business office operations.
    • Analyze current accounting systems and procedures, and provide constructive feedback on any possible improvement.
    • Oversight of the timely completion of monthly UND Purchasing Card reallocation on JPMorgan online system.
    • Provide assistance with the NCAA, EADA, Agreed Upon Procedures, and UBIT audits, at the discretion of the Senior Associate Athletic Director/CFO.
    • Provide advisory services to management and administrative personnel on business office duties.
    • Other business office duties, as assigned by supervisor.
  • Budget management & planning
    • Prepare accurate and timely budget to actual reports.
    • Assist all sports & departmental areas with monthly budget management, planning & tracking.
    • Provide analysis and recommendations on how to stay fiscally responsible and within budget.
    • Create/assist with budget spreadsheets for teams with detailed analysis of specific expense areas including, but not limited to, travel, equipment, and recruiting.
    • Process all budget revisions, as requested by supervisor.
    • Assist the Senior Associate Athletic Director/CFO with year-end closing & budget issues, as requested.
  • Human Resources
    • Supervise two full-time positions within the Business Office: Athletics Business Operations Coordinator & Student-Athlete Medical Insurance Technician.
    • Direct oversight, in conjunction with UND Human Resources office, of the hiring process and employment eligibility for all part-time, temporary, and student workers.
    • Educate department supervisors on their responsibilities with time & labor; reviewing, correcting, and approving hours worked by their employees in a timely manner.
    • Facilitate all criminal history background checks through Sterling Solutions, including for department volunteers.
    • Assist & communicate with all new hires on completing the Federal I-9 Form & all other onboarding requirements.
    • Oversee all camp payroll, including training on payroll policies and ensuring compliance with state and federal regulations.
    • Present payroll requirements to head coaches and camp coordinators at annual camp meeting & assist in the annual recruitments.
    • Act as a resource for student employees, both work study and institutional.
    • Monitor and track the Federal Work Study funding allocation for each student employee to keep within budgetary guidelines.
    • Review position descriptions periodically and recommend any necessary updates. 
  • Additional duties
    • Assist in department events, as requested.
    • Travel with sport teams, as requested.
    • All other duties as assigned by Senior Associate Athletics Director/CFO and/or Director of Athletics. 

Required Competencies

  • Excellent interpersonal, communication (verbal and written)
  • Must have effective professional working relationship with staff, coaches, student-athletes, and general public.
  • Ability to multi-task, organize, and prioritize.
  • Must be detail-oriented.
  • Must have commitment to NCAA compliance and follow all NCAA, conference, and UND rules and regulations
  • Must provide support and encouragement and ensure the safety and well-being of the student-athletes including having a valid driver’s license.

Minimum Requirements

  • Bachelor’s Degree
  • 3 years working in a professional setting in business or accounting.
  • Professional experience working with Microsoft Word, Excel and Outlook.
  • Valid Driver’s License
  • Successful completion of a Criminal History Background Check (CHBC).

Preferred Qualifications

  • Experience working at an NCAA Division I school.
  • Supervisory experience.
  • Experience with University and/or public policies and standards.
  • Experience with NCAA Agreed Upon Procedures and/or EADA Reporting.
  • Experience as a collegiate student-athlete.
