Salary/Position Classification

  • $46,100 Annual, Non-Exempt (Eligible for overtime)
  • 40 hours per week
  • This position will work onsite at UND Grand Forks, ND campus

Purpose of Position

This position provides administrative and operational coordination for the Staff Career and Professional Development function within Human Resources. The role ensures the effective delivery of professional learning programs by managing logistics, registration systems, communications, data tracking, reporting, and resource coordination.

Working under general supervision, this position serves as a key operational partner to ensure programs are delivered efficiently, accurately, and with a high level of service to participants, facilitators, and campus partners. The role also contributes to continuous process improvement and operational effectiveness.

Duties & Responsibilities

  • Coordinates end-to-end administrative and logistical operations supporting staff professional development programs and initiatives.
    • Coordinate daily operational and logistical needs for workshops, leadership programs, and university-wide staff development initiatives
    • Coordinate logistics for the New Staff Orientation program, including scheduling, space and technology needs, materials, catering, presenter coordination, participant communications, and day-of support.
    • Manage scheduling, room reservations, virtual meeting platforms, materials, catering, equipment, and event logistics
    • Serve as primary contact for program communications with participants, facilitators, subject matter experts, and campus partners
    • Process purchasing, p-card transactions, invoices, contracts, travel arrangements, and reimbursements in compliance with university policy 
    • Maintain departmental calendars, records, documentation systems, and files
    • Support website updates, promotional materials, and digital content in collaboration with team members
    • Provide logistical support for committees, initiatives, and special projects as needed
    • Identify and recommend improvements to administrative workflows to increase efficiency and service quality
  • Manages registration systems, participant data, communications, and reporting to support program delivery and evaluation.
    • Serve as primary user for learning registration systems and program databases
    • Build and manage program registrations, rosters, waitlists, attendance tracking, and completion records
    • Develop and distribute participant communications (confirmations, reminders, cancellations, and resource materials)
    • Coordinate program evaluation processes and compile feedback summaries
    • Produce reports and dashboards to support program assessment and decision-making
    • Ensure accuracy, consistency, and integrity of data across systems (registration, LMS, reporting tools)
  • Supports team effectiveness through collaboration, innovation, and operational improvement.
    • Participate in process improvement initiatives to enhance workflows and participant experience
    • Support implementation of new professional development programs and special projects
    • Engage in HR and Staff Career & Professional Development team meetings and development activities
    • Provide flexible operational support and perform other duties as assigned

Minimum Requirements

  • High school diploma or GED
  • Minimum of four (4) years of experience working in an administrative/clerical position in a professional setting.
  • Strong proficiency in Microsoft Word, Excel, Outlook, PowerPoint
  • Customer service experience in a professional setting
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Experience UND policies and administrative procedures
  • Experience with event planning, travel coordination, and procurement systems (e.g., Jaggaer)
  • Familiarity with HRMS, PeopleSoft, or learning management systems
  • Experience in higher education or professional development environments
  • Experience with Microsoft 365.
  • Experience with registration, database, or program coordination systems
