Salary/Position Classification

  • $40,300+ dependent on experience, Non-Exempt (Eligible for overtime)
  • 40 hours per week
  • This position will work onsite the Grand Forks, ND campus.

Purpose of Position

This position is part of the service area team in the Office of the Registrar. The purpose of this position is to assist students, faculty, staff and the general public in the service area and on the telephone; and to release information within the guidelines of the Family Educational Rights and Privacy Act Primary duties include processing and distributing transcript orders and assisting students with transcript requests; processing applications for readmission; supporting the Registrar in the publication of the Online University Academic Catalog by reviewing and editing the catalog, and approving all changes and updating access to the Courseleaf Catalog Management System.. Additional duties include: assisting students, staff, and faculty with questions. Distribute materials needed for processing by the office, providing back up for phones and other staff members and assisting with other office duties. The position will also act as the contact person for students and staff at the American College of Norway during their time of study and after and resolve and correct errors on enrollment reports submitted to National Student Clearinghouse.

Duties & Responsibilities

  • Transcript Processing: Process and troubleshoot transcript requests through Parchment, including current, archived, third-party, and mailed requests. Research historical records as needed and review transcript activity for potential fraud or unusual activity.
  • Academic Catalog: Coordinate publication of the University Academic Catalog using CourseLeaf, including managing timelines and workflows; reviewing, editing, and approving content; collaborating with campus stakeholders; and ensuring accuracy, consistency, and accessibility.
  • Student Readmission: Process readmission applications by reviewing eligibility and documentation, updating student records, verifying transcripts and transfer credits, and preparing students for enrollment. Communicate requirements and next steps to applicants and review applications for potential fraud.
  • Student, Faculty & Staff Support: Provide information and assistance regarding registration, student records, graduation, readmission, and related Registrar services in compliance with FERPA. Respond to inquiries by phone, email, and in person and provide general office support.
  • Enrollment & Degree Verification: Provide backup support for enrollment and degree verifications, including researching current and historical student records and preparing official verification documents.
  • American College of Norway Support: Serve as a contact for American College of Norway students and staff, assisting with registration, transcripts, transfer credit, email, and related student record matters.
  • National Student Clearinghouse Reporting: Research, resolve, and correct enrollment and student record reporting errors through the National Student Clearinghouse and NSLDS.

Required Competencies

  • Requires proficiency with common computer applications (ex: Word, Excel, Internet, Outlook)
  • Requires strong oral and written communication skills
  • Demonstrate excellent interpersonal and organization skills
  • Ability to work in a detail-oriented atmosphere
  • Must be experienced in handling confidential information
  • Must have knowledge of general office policies and procedures and office equipment
  • Demonstrate ability to balance multiple projects with a high degree of accuracy
  • Demonstrate problem-solving skills

Minimum Requirements

  • High School Diploma or Equivalent
  • 1 year of related work experience
  • Competency with Microsoft Word, Excel, and Outlook
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Experience with transcript software (Parchment Send preferred)
  • Experience with academic catalog software (Courseleaf CAT preferred)
  • Experience student information systems (PeopleSoft Preferred)
  • Experience working in a university setting
  • One year of college
