Purpose of Position

The primary purpose of this position is to provide administrative, phone, and customer service support to the Housing & Residence Life Office. The Administrative Assistant will greet visitors, respond to emails, answer phones, and serve as a resource to answer general questions regarding the processes of the Housing & Residence Life department.

Duties & Responsibilities

  • Customer Service 
    • Greet visitors, answer phone and route to appropriate staff
    • Maintain general email inbox and mail
    • Provide information to callers regarding Housing & Residence Life, campus resources, locations, and contacts
    • Perform routine office functions related to the effective delivery of services
  • Administrative
    • Prepare meeting minutes, agendas, general correspondence, and routine reports
    • Assist with document imaging and records management
    • Utilize office software, ex. The Housing Director (THD), Roompact, and Notifii
    • Maintain operational information and resources to ensure accuracy
    • Maintain compliance with procedures related to handling and processing sensitive or confidential records and information in keeping with applicable laws, statutes, University, and departmental policy i.e. FERPA, Clery Act, Title IX
  • Financial
    • Maintain accurate accounts preparation and auditing
    • Assist with deposits
    • Work cooperatively with other departments to maintain accounts
    • Assist in the preparation of student accounts adjustments. This may include:
      • Billing – credits or miscellaneous charges
      • Follow-up correspondence
      • Audit of accounts
      • Responding to student and parent inquiries

Required Competencies

  • Proficiency in Microsoft Office and general office software
  • Strong customer service skills and positive attitude
  • Excellent interpersonal communication skills
  • Highly organized, self-directed, and motivated
  • Ability to prepare and manage professional level correspondence
  • Perform detailed work with a high degree of accuracy within scheduled deadlines
  • Effective communication with diverse groups of people

Minimum Requirements

  • High School Diploma or GED
  • 1-year related experience in customer service and administrative support
  • Valid driver’s license
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Associate degree or certification related to office administration or related field
  • 1+ years prior related experience
