Purpose of Position

The Medical Billing Supervisor is responsible for forward-thinking decision-making related to daily clinical operations. This position takes responsibility for supervision of front office staff that directly contribute to efficient and comprehensive patient services. The Medical Billing Supervisor assures standard compliance for front office business services and participates directly in the entire accreditation process. Additionally, the Medical Billing Supervisor collaborates with others on campus, in the local community and nationally as spokesperson for the physical and mental health of UND students.

Duties & Responsibilities

  • Clinical Operation
    • Manage daily clinic processes, patient access, medical billing/insurance processes for SHS and Center for Sports Medicine (CSM) and patient experiences
    • Serve as a back-up and consult for front office team members
    • Oversee overall clinical inventory and expenditures
    • Participate as a member of the SHS Leadership team
    • Provide input on clinic policies/procedures and initiate changes to policies/procedures when indicated
    • Involved with AAAHC clinic accreditation processes
    • Ensure clinic staff provide developmental-level, culturally sensitive, and diverse patient-centered services to student. 
    • Oversee records retention guidelines for medical and working documents 
    • Oversee FAA processes and functions as a back-up for FAA tasks 
    • Understand functionality of electronic health record (EHR), manage EHR practice management processes, utilize data from EHR for reporting purposes 
    • Responsible for approving expenditures, managing departmental budget and making financial decision for the front office department 
    • Collaborate with Director on annual clinic budget, including but not limited to monitoring budget trends, setting rates, reviewing purchases, initiating and renewing contracts, and grant funding opportunities 
    • Communicate unusual occurrences or concerns with Director and Medical Director 
    • Assumes responsibility for supervision and administration of SHS in Director’s absence 
  • Supervision of Front Staff
    • Supervise front office staff
    • Coordinate and adjust daily staffing schedules and manage time off requests of direct reports
    • Schedule and facilitate front office department meetings 
    • Assure front office staff meet professional standards as well as AAAHC accreditation standards 
    • Primary authority for hiring, termination, setting compensation, performance management and organizational structure of front office staff 
    • Coordination of orientation of front office staff, in accordance with UND Human Resources processes 
    • Complete annual staff performance appraisals and manage disciplinary actions for staff directly supervised 
    • Manage policies and procedures for front office department 
    • Support and encourage opportunity for staff professional development 
  • Manage SHS Outreach and Marketing
    • Coordinate campus outreach events including scheduling, staffing, and topic or activity for the events
    • Purchase swag and education to give at outreach events
    • Collaborate with clinic staff to develop Health & Wellness Presentations as requested
    • Seek out and lead progressive practice opportunities to enhance service to students 
    • Provide outreach education to the greater UND campus (peer educators, student organizations, faculty, etc.) and the Grand Forks community 
    • Work with Immunization Compliance Nurse to coordinate immunization and flu shot clinics to administer vaccinations to students, faculty, and staff; Assist SHS accounting and coding departments for billing/reimbursement of immunizations 
    • In collaboration with UND Marketing department, oversee updates to the SHS webpage and coordinate SHS marketing efforts on campus 
  • Campus Involvement/Representation 
    • Coordinate with the director to ensure the accurate and timely completion of any departmental requirements or requests of the department. 
    • Represent Student Affairs on University and Divisional committees (ie Student Affairs Leadership Council) and provide leadership to those committees as needed 
    • Collaborate with NDHHS and GFPH for public health concerns of UND students as needed 
    • Represent the Vice President for Student Affairs at campus events, meetings, and related items as appropriate
    • Perform other duties as assigned to meet the needs of Student Health Services and the UND community

Required Competencies

Minimum Requirements

  • Bachelor’s degree in Business, Business Management, Heath Care Administration OR related fields with 3 years of directly related experience OR Associates degree in a health field with 6 years of directly related experience.
  • 1-year of experience working in a student health clinic, an ambulatory clinic, and/or public health
  • 2-years previous supervisory experience
  • 1-year of experience utilizing an electronic health record system.
  • CPR certified or able to obtain certification within 30 days of employment.
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Current professional certification(s) related to healthcare operations, medical billing and coding, insurance administration, practice management or business management
  • Experience with grant-writing
  • Experience with outreach and marketing
