Salary/Position Classification

  • $18,300+ Annual, Dependent on Experience, Non-Exempt (Eligible for overtime)
  • 20 hours per week
  • This position will work onsite at UND Grand Forks, ND campus

Purpose of Position

The primary responsibility of this position is to be the first contact to patients and assist them in scheduling and registration of appointments by providing excellent customer service. Additionally, this role is a team player with clinic staff to ensure an efficient and comfortable experience for all patients.

Duties & Responsibilities

  • Patient Scheduling & Registration
    • Welcome all patients, students, and visitors to the clinic  
    • Answer and manage phone calls; register patients for appointments; manage patient scheduling using the electronic medical records (EMR) and practice management system 
    • Verify student status and create medical records as necessary. Confirm and update patient demographics in the electronic medical records (EMR). Collect and scan insurance cards, provide general information regarding insurance and billing processes at SHS, and refer patients to appropriate clinic staff for specific inquiries
    • Verify and update patient insurance information in the electronic medical record (EMR) to ensure accuracy and current coverage status. This includes confirming insurance plan details, verifying the policy is active and effective on the date of service, and making updates in the EMR. Utilize electronic verification tools, payer portals, and direct communication to ensure the most accurate and up-to-date information is documented.
    • Review patient schedule daily to identify and record no-show appointments in accordance with clinic procedures
  • Cash Handling
    • Accept payment for services by check or credit card
    • Prepare daily deposits from checks, or credit cards received
    • Follow PCI Compliance policies within the University
    • Stay current with PCI Compliance education
    • Perform device inspections and complete form per university guidelines 
  • Medical Records Technician
    • Maintain medical record keeping practices as required by federal, state, and local standards
    • Perform medical record functions including retrieval, analysis, forms review, and logging
    • Prepare medical record correspondence and release of information
    • Maintain medical record retention schedule and prepare records for destruction
    • Assist with chart audits as determined for Peer Review, coding audits, and other requested audits
    • Scan paper records into designated areas in electronic medical record (EMR)
    • Audit scanned medical records for scanning accuracy 
  • Other Duties:
    • Order supplies as needed for clinicians. Process all P-card invoices submitted by card holders by assigning fund and account codes per University guidelines, and reconciling statements and retaining records
    • Provide office support services such as opening and closing the clinic, office supplies, fax distribution, etc.
    • Credential new physical therapists including residents with insurance companies 

Required Competencies

  • Ability to communicate with individuals of diverse backgrounds
  • Ability to relate well to adolescent and young adult population; offer a sensitive, non-judgmental attitude
  • Ability to multitask and work cooperatively with others
  • Strong keyboarding skills

Minimum Requirements

  • High School diploma or GED
  • Successful completion of criminal history background check

Preferred Qualifications

  • Previous related office experience
  • Demonstrated computer skills/experience in Microsoft Office Suite, and electronic health records
  • Experience with medical records and retention guidelines
  • Experience in the use of an electronic medical records system
