Purpose of Position

The Marketing & Communications Coordinator supports the implementation of marketing communications, graduate student engagement programming, and Gershman Graduate Center building operations within the School of Graduate Studies (SGS). Responsibilities include serving as the primary contact for marketing communications, developing communications and marketing materials, and promoting all Graduate School events and activities. This position also plans and coordinates professional development and community building events and manages day-to-day building operations and services at the Gershman Graduate Center.

The School of Graduate Studies uses a five-tier engagement model that categorizes programming by strategic importance and operational complexity:

  • Tier 1: Signature Events
  • Tier 2: Strategic Programmatic Events
  • Tier 3: Community Building Events
  • Tier 4: Support & Skill-Building Workshops
  • Tier 5: Administrative Events

This position reports to the Director of Graduate Student Engagement within the School of Graduate Studies organizational structure.

Duties & Responsibilities

Coordinate Marketing and Communications for the School of Graduate Studies

  • Develop and implement comprehensive marketing and communication plans associated with the Graduate School’s programs and services, events, workshops, special initiatives, and other activities as assigned.
  • Develop, digital and web content, including planning, and publishing for all Graduate School events, activities, and initiatives.
  • Update graphics and communication templates as needed.
  • Collaborate with team members on the development, design, and implementation of marketing projects, ensuring deadlines are met and goals are achieved.
  • Update and maintain the department website to ensure accurate written and digital content, while meeting university website standards, guidelines, and accessibility requirements.
  • Manage social media platforms by writing, planning, scheduling, and publishing content.
  • Coordinate text message communications and event submissions to the UND events calendar.
  • Plan, implement, and execute incentives and engagement activities that promote graduate-related events.
  • Create and order printed materials and signage, ensuring timely delivery and alignment with event and building services needs.
  • Coordinate all photography and videography needs for marketing, promotions, and events.
  • Coordinate podcast production logistics by scheduling guest interviews and recording space, and oversee post-production editing to ensure quality, accessibility compliance, and adherence to UND brand guidelines.
  • Serve as a liaison and collaborate with UND’s Marketing & Creative Services to ensure that departmental goals are aligned with UND’s marketing and branding strategies.
  • Collaborate with campus departments to support promotion of department programs and events.
  • Manage content within Blackboard and other online portals, accounts, and communication platforms as needed.

Plan, coordinate, implement, and execute Tier 3, Tier 4, Tier 5 programs and events

  • Coordinate on-campus and virtual workshops and events in alignment with program goals and priorities, with attention to scheduling, planning, organization, logistics, implementation, and post-event wrap-up.
  • Set up and manage registration platforms to gather and maintain appropriate data and records regarding student participation.
  • Coordinate participation incentives, including promotional item giveaways and engagement activities.
  • Submit event approval forms and requests for duplicating services, space reservations, and vendor scheduling in accordance with established policies and procedures.
  • Prepare and submit requests for event-related supplies, materials, and vendor services in accordance with established policies and approval procedures.
  • Serve as the day-of coordinator responsible for implementation and execution of event and program activities.
  • Work at pre-scheduled events held outside of normal work hours for program execution when needed.
  • Work with graduate service assistants to coordinate and facilitate peer-led events.
  • Assist with post-event documentation and evaluation activities, including tracking attendance and compiling participant feedback.

Assist with Tier 1 and Tier 2 programs and events

  • Submit event approval forms and prepare and submit supply and vendor requests in alignment with program timelines and deadlines.
  • Manage event registration and other digital event platforms, including setup, configuration, monitoring, participant tracking, and generating participation and evaluation reports as requested.
  • Create and manage sign up platforms and support scheduling and calendaring logistics for program participants and volunteers.
  • Monitor registrations and event communications, including responding to inquiries and preparing and distributing participant communications as directed using mail merge and other communication tools.
  • Run event-related errands, including transporting supplies and materials in preparation for Graduate School events.
  • Serve as an active member of the events team to assist with program setup, execution, and tear-down.
  • Work at pre-scheduled events held outside of normal work hours for program execution assistance as needed.

Manage Building Operations and Services for the Gershman Graduate Center

  • Manage and coordinate day-to-day operations of the Gershman Graduate Center, including scheduling, space reservations, building services, and event-related activities, ensuring appropriate use and adherence to established policies.
  • Ensure a positive visitor experience within the Center, including serving as the primary point of contact for student and guest inquiries related to the facility.
  • Ensure on-site building coverage, including oversight of opening and closing procedures, coordination of event setup and teardown, and maintenance of common areas.
  • Provide on-call support for evening operations, responding to issues escalated by student staff during scheduled operating hours.
  • Manage and coordinate resolution of facility and service issues, escalating issues as needed.
  • Coordinate on-site response to emergency situations in accordance with University policies and procedures.
  • Implement and enforce University, Code of Student Life, and Gershman Graduate Center policies and procedures, escalating complex or non-routine issues as needed.
  • Manage inventory of building supplies, submit purchase orders, and oversee the loaner supply program, including inventory tracking and maintenance of items for departmental use.
  • Monitor and coordinate communication related to facility use, including shared email accounts and vendor coordination for building operations and services.

Supervision of Gershman Graduate Center Student Employees

  • Supervise Gershman Graduate Center student employees.
  • Interview, hire, train, and evaluate student employees.
  • Update, develop and maintain training program for student employees.
  • Coordinate student scheduling to meet expectations and ensure coverage for operational and event needs.
  • Provide ongoing positive and constructive feedback.
  • Coordinate and conduct meetings with student employees to foster communication and teamwork.

Minimum Requirements

  • Bachelor’s degree; OR Associate’s degree and three years of directly related experience; OR five years of directly related experience.
  • One year of related professional or internship experience.
  • Experience coordinating complex events or programs requiring a high level of detail, organization, and logistical planning.
  • Experience developing written communications for marketing and promotional purposes.
  • Provide three written marketing/promotional samples at the time of interview.
  • Successful completion of a Criminal History Background Check
