  • This position will work onsite at UND Grand Forks, ND campus

Purpose of Position

Provide the administrative support required to operate an efficient office, fulfill the primary mission of the Student Finance Office by providing information and services to undergraduate, graduate, law and professional students who require financial assistance in order to attend the University of North Dakota, and maintain compliance with Federal, State and University policies and regulations governing eligibility and disbursement of educational financial aid.

Duties & Responsibilities

  • 15% - Provide Direct Assistance to Students/Families Applying for Educational Financial Assistance
    • Provide information to applicants relative to educational financial planning and management.
    • Review and analyze requests for financial aid based on special circumstances using professional judgment to evaluate and reach a decision on the appropriate course of action.
    • Communicate decisions to students and parents, informing them of the types and amounts of aid to be given or of the denial of a request.
    • Act as a resource for guidance when applicants and/or other service professionals have specific questions concerning application for educational financial assistance.
    • Coordinate Special Circumstance committee meeting times, policy, and procedure review to meet federal requirements
    • Correct appropriate FAFSA information - (Essential)
  • 5% - Participate in the Financial Aid Budget and Award
    • Process Participate in the development of University policy and procedures for preparation of estimated cost of attendance figures, award packaging parameters and professional judgment guidelines, with consideration for the student with extraordinary need, while maintaining compliance with Federal guidelines.
    • Review and analyze applications to determine eligibility for appropriate programs including assignment of budget, performing needs analysis and awarding aid, ensuring proper utilization and equitable distribution of available funds.
    • Develop and maintain open communication within the Student Finance Office to ensure that appropriate sharing of information is accomplished among staff when specialized areas are required to make adjustments, when the affect other office operations - (Essential)
  • 10% - Professional Representation of the Office of Student Finance Facilitate access to educational financial information by serving as a resource to University, community and regional entities.
    • Prepare and present information for public presentation in such formats as financial aid information sessions, freshmen and transfer summer registration, high school counselor workshops and student services programs on campus as assigned. Serves on professional University committees as assigned.
    • Responds to external inquiries concerning financial aid eligibility, cost of attendance or other issues specific to the University of North Dakota and financial aid.
    • Contribute specific and general program data for compilation of required reports which are necessary to maintain the University’s Federal funding eligibility, i.e. FISAP, Annual Report to the President, audit responses, loan program review and other internal and external monitoring requirements. - (Essential)
  • 25% - Administration of University and State Scholarship Programs Review scholarship funds to determine amount to be awarded each year.
    • Assist in selection of scholarship recipients.
    • Notify students of scholarship offers.
    • Monitor the scholarship accounts to ensure awarding within established limits.
    • Maintain and reconcile internal scholarships funds.
    • Enter information in PeopleSoft for each student receiving a scholarship.
    • Monitor disbursement of scholarship awards. Maintain scholarship item types in PeopleSoft. Represent Student Finance Office in the explanation of scholarships.
    • Process scholarship correspondence – including e-mails, certificates and notifications to Alumni Foundation.
    • Assist with establishing scholarship policies.
    • Work with alumni foundation to establish new scholarships or make changes to current scholarship agreements.
    • Work with high school counselors for the high school nominated awards. - (Essential)
  • 5% - Liaison with UND Alumni Association and Foundation Develop and maintain effective working relationships with staff at the Alumni Association and Foundation.
    • Communicate concerns and needs of Student Financial Aid Office as they relate to scholarships.
    • Work with Alumni Foundation to award and monitor Alumni scholarships. - (Essential)
  • 20% - Manage Scholarship Central (Blackbaud Award Management)
    • Assist with written policies and procedures on how UND’s uses Blackbaud Award Management.
    • Provide educational opportunities for both new and existing users across campus for Blackbaud.
    • Work with Blackbaud staff to build and develop knowledge on Blackbaud Award Management’s capabilities to create efficiencies and new opportunities when awarding UND scholarships.
    • Create and maintain user login.
    • Develop notification process for departments to remove access from past employees.
    • Upload scholarship criteria in Blackbaud.
    • Data entry into Campus Connection after recipients have been selected. - (Essential)
  • 15% - Special and Unusual Circumstance Appeals
    • Review and decide on Special Circumstance and Unusual Circumstance financial aid appeals.
    • Collect and retain all necessary documents. Process and communicate results. - (Essential)
  • 5% - Continuous Process Improvement
    • Proactively identify, analyze, and improve upon existing business processes within position and/or within SF/One-Stop Use data to identify priorities and monitor outcomes.
    • Work with SF and One-Stop teams to implement and promote process improvements to optimize workflow and student service. - (Essential)

Minimum Requirements

  • Bachelor’s degree or equivalent experience
  • Three years of experience working in an office setting.
  • Advanced skills using Microsoft Word and Excel.
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Have had training and/or proven work history on process improvements.
  • Two years of experience in a university setting.
  • Experience with Student Admin module PeopleSoft.
  • Experience using Perceptive Content (ImageNow).
  • Experience with UND policies and procedures.
  • At least one year of experience with Title IV regulations.
