  • $43,000+ Annual, Dependent on Experience, Non-Exempt (Eligible for overtime)

Purpose of Position

  • This position is responsible for providing administrative support to UND SMHS Library Resources. This includes:
    • Overall management and record keeping of the Library Resources administrative office, analysis and establishment of administrative procedures, and organization of workflows
    • Management of departmental finances and accounting functions
    • Maintenance and management of human resources processes, records and documentation
    • Coordination with other UND service departments, such as telecommunications, facilities, etc., to ensure continuity of departmental services and maintenance
    • Staffing the departmental Information Desk 10 hours per week with additional hours as needed for coverage.

Duties & Responsibilities

Provides administrative support to Library Resources

  • Provide management of the library’s administrative office. Analyze and establish administrative procedures and organize workflow.
  • Establish, maintain, and control files and records for the administrative office; maintain records in compliance with Records and Information Management policies and procedures.
  • Manage the system for tracking student employee time.
  • Submit work orders to Facilities Management and oversees departmental maintenance and repairs.
  • Organize and maintain regular office supplies.
  • Provide asset management for the library’s major and minor equipment, manage departmental equipment contracts, and coordinate annual inventory of major and minor equipment.
  • Record and distribute minutes for staff meetings and other meetings, as requested.
  • Coordinate library-sponsored special events.  

Manages Library Resources financial and accounting processes

  • Advise library senior management on financial policies, procedures and decision-making.
  • Monitor departmental accounting; provides regular financial reports to library administration
  • Maintain departmental financial logs and monitor expenditures, encumbrances, credits, and any other financial activities.
  • Provide initial approval for departmental expenditure; process invoices for payment.
  • Prepare and distribute departmental billings for library services (e.g., interlibrary loan services, clinical affiliate libraries)
  • Receive and process payments from billings and deposits.
  • Compile data for preparation of annual report and other financial reports upon request.

 Manages human resources processes, records and documentation

  • Establish and maintain all personnel files for staff, student employees, and temporary appointments.
  • Process appointments, revisions, and terminations for library staff and student employees.
  • Assist with staff recruiting by completing documentation through UND’s recruiting software system.
  • Serve as contact person for the Regional Clinical Campus Librarians with regard to university and library policies.

Staff Information Desk and provides primary back-up to Circulation Manager

  • Staff the Information Desk 10 hours each week.
  • Provide additional coverage as necessary in the absence of the Circulation Manager.  

Required Competencies

  • Strong oral, written and interpersonal communication skills
  • Strong organizational skills
  • Proficiency in using Microsoft Office software

Minimum Requirements

  • HS diploma or GED
  • Four years of directly related experience
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Bachelor's degree
  • Experience directly assisting a department head with management of administrative support functions
  • Experience in drafting budgets, bookkeeping and maintaining financial records
