Salary/Position Classification

  • $41,100+ annual, Non-Exempt (Eligible for overtime)
  • 40 hours per week
  • This position will work onsite.

Purpose of Position

The Administrative Assistant is a front-facing position that provides support to the Department of Atmospheric Sciences. This position will serve as the receptionist in office and will assist the Chair, faculty, students, prospective students, alumni, and other stakeholders in a professional manners. This position will assist with managing the finances, work closely with alumni relations including events, along with other strategic and miscellaneous departmental functions, and some college-wide duties.

Duties & Responsibilities

Department Administrative Support/Receptionist 

  • Serve as primary point of contact for visitors, students, faculty, and staff
  • Support Chair with scheduling, curriculum planning, and departmental policies
  • Manage office operations, equipment inventory, and meeting coordination
  • Maintain calendars, directories, and provide general administrative support

Accounting and Procurement 

  • Handle procurement through UND Marketplace system and coordinate with Aerospace Fiscal Affairs
  • Manage purchasing card (Pcard) transactions and monthly reporting
  • Process travel authorizations, expenses, and reimbursements
  • Assist with grant tracking and payment processing
  • Submit work orders and repair requests

Payroll Processing/HR Duties 

  • Process all payroll paperwork including hires, position changes, and terminations
  • Manage graduate student funding tracking and contract creation
  • Coordinate recruitment through PageUp system for student and temporary positions
  • Handle hourly reporting, reconciliation, and timesheets
  • Assist with employee onboarding and off-boarding processes

Student Recruitment, Alumni Relations & Events

  • Support prospective student visits and seminar speaker coordination
  • Manage alumni communications, database, and annual banquet planning
  • Assist with AMS Career Fair coordination and departmental events
  • Handle social media, marketing materials, and facility coordination
  • Maintain daily operations including lab access and vehicle scheduling

  • Very strong attention to detail and ability to anticipate future related to assigned tasks.
  • Excellent organizational and time management skills.
  • The demonstrated ability to communicate clearly, directly, and friendly with a diverse community of students, faculty, staff.
  • Must be resourceful, self-directed and work with little supervision
  • Demonstrate ability to work individually as well as part of a team
  • Able to work collaboratively across all institutional lines
  • Flexible and able to adapt to a variety of working environments
  • Demonstrate ability to multi-task and function with a high degree of accuracy.
  • Ability to promote a friendly and positive attitude and environment in day-to-day communications and activities
  • Capable of handling challenging situations with discretion
  • Skilled in use of Microsoft Office Suite
  • Able to solve issues independently.

Minimum Requirements

  • High school diploma or GED equivalent.
  • One year of customer service work experience.
  • One year of experience in office setting.
  • Proficient with Microsoft Office Suite, including Word, Outlook, and Excel.
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Associate’s degree.
  • Two+ years of administrative experience in academic, business, or related setting that includes receptionist duties.
  • Experience with PeopleSoft (Campus Connection), Perceptive Content, Qualtrics (or similar survey software), and Civitas.
  • Experience with systems used at UND: Blackboard, Campus Connection, HawkCentral, Adobe, Zoom, TEAMS, and PageUP.
