Salary/Position Classification

  • $52,000+ commensurate with experience, annual, Exempt
  • 40 hours per week
  • This position will work onsite.

Purpose of Position

The purpose of this position as one of the primary members of the CEM Research Division team, is to work to ensure the objectives and goals of the research division are maintained and achieved. The function of this position is:

  • Grant Award Setup
  • Analysis of Grant expense and budget progress
  • Completing the Closeout Process for expiring grants
  • Other Duties

Duties & Responsibilities

  • Work on Grant Award setup by collaborating with the Pre-award team, principal investigator (PI) /CoPIs to have a clear understanding of budget resources approved by the sponsor. Review PI effort commitment to ensure effort & payroll setup matches the commitment of the Sponsor 
  • Analysis of Grant expense and budget progress
    • Complete monthly reports and utilize them to analyze current spending and identify potential areas of concern.
    • Lead update meetings with PI to review the current Grant portfolio and Local F&A fund review. Make appropriate adjustments by updating Salary Forecasting if necessary. Request extensions and retroactive distribution requests when necessary.  Review Cost Share status and provide salary changes to Grants and Contracts if necessary
    • Collaborate on setup and monitoring GRA budget and hours for projects 
    • As Compliance Coordinator, pre-review project payroll statements in UNDCC system and liaison with principal investigators to complete payroll certification timely. Make corrections, if necessary, via retros and department budget table.
    • Complete ad hoc reporting when needed by PI utilizing TIBCO, Power BI or PeopleSoft Electronic reports. - (Essential)
  • Completing the Closeout Process for expiring grants
    • Advise Grants & Contracts at least 45 days in advance of the end of the period of performance if a no cost extension (NCE) is needed.
    • Collaborate with PI to reconcile budget to actuals to determine if what was agreed upon was fulfilled.
    • Collaborate with PI to review transactions to ensure proper expenses  and G&C when appropriate to close out a project
    • Resolve overdrafts and unallowable expenses 
  • Other Duties as assigned
    • Cross-train on pre-award proposal development functions and serve as a pre-award during high pre-award workload periods or when pre-award analyst(s) are unavailable.
    • Maintain working knowledge of policies and procedures - ensure PIs and research staff are familiar with policies and procedures related to sponsored projects
    • Review communication expectations with PIs
    • Support training of PIs and project management personnel on grant administration and project management

Minimum Requirements

  • Bachelor’s degree
  • Three or more years of experience in an academic, business, or related setting
  • Proficiency in Microsoft Office to include Word, Excel, and Outlook
  • Successful completion of a Criminal History Background Check
