Purpose of Position

This is a part-time, non-benefited position. Only UND students are eligible to be hired in this position.

The Student Administrative Summer Programs Assistant will provide essential administrative support to the Operations Manager, specifically focusing on the assistance with logistics and coordination of summer conferences and camps. This position is crucial for ensuring a seamless experience for guests and participants.

Duties & Responsibilities

  • Participate and assist the Housing Operations Manager with incoming groups prior to their arrival to discuss and finalize their housing needs and logistics
  • Assist in the pre planning and coordination of assignments per each group
  • Manage the planning calendar of summer groups
  • Update Summer Scheduler and the primary calendar weekly
  • Participate in weekly staff meetings with the team including student conference staff
  • Maintain a professional and welcoming environment for all guests and participants
  • Manage meeting minutes with each summer group
  • Attend scheduled 1:1 meetings with supervisor
  • Attend scheduled group building check outs
  • Coordinate the checkout room condition process with summer staff
  • Assist in managing linen services to select groups for their overnight stay
  • Assist in key inventory management for residence halls
  • Maintain building amenity condition records and inventory
  • Participate in orientation week

Required Competencies

  • Strong organizational skills and the ability to coordinate multiple tasks simultaneously
  • Excellent communication skills, both verbal and written
  • Ability to take self-initiative
  • Proficient in Microsoft Office 365
  • Ability to work collaboratively and independently
  • Ability to represent The University of North Dakota and the UND Housing & Residence Life office positively to encourage recruitment efforts through summer programs

Minimum Requirements

  • Enrolled as a student at the University of North Dakota for Spring 2025 (Spring 2025 Graduates are not eligible for this position)
  • Remain local to Grand Forks for the summer, May - August
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Flexible summer schedule to accommodate the group's arrival and departure times.
  • Previous experience in program planning and logistics coordination.
