Purpose of Position

The MU Operations Coordinator serves in an integral role assisting with the daily management of Memorial Union building operations. The Coordinator provides daily supervision and management of the Memorial Union Information Desk and student staff, and Building Manager student staff who each provide essential front-facing customer service and support to building users. The Coordinator oversees the Games Area program/operation, provides supplemental support for event space setups and teardowns, and serves in a support role for building-wide emergency response. The Coordinator also assists the Associate Director with essential operations tasks and processes to include: building security, access, and key system management, work order submission, and inventory management.

Duties & Responsibilities

 Memorial Union Building Operations

  • Normal work schedule will be Monday through Friday: 10:00 AM to 6:30 PM. Flexible exceptions to this schedule may be made to accommodate additional business and operational needs.
  • Oversee building managers who help with building operation, seven days a week, 13 to 17 hours a day.
  • Provide daily supervision and management of the Memorial Union Information Desk operation & student staff.
  • Be aware of UND and building specific emergency procedures, anticipate and troubleshoot problems or concerns and reconcile any present or emerging conflicts as may be needed during scheduled shifts.
  • Serve in an emergency response support role as designated in support of the MU Building Emergency & Action Plan (BEAP), especially in flex hours as additional staff coverage.
  • Manage the daily operation and maintenance upkeep of the Memorial Union Games Area, in addition to driving programmatic efforts.
  • Provide supplemental support for event space setups and teardowns within Memorial Union indoor/outdoor reservable spaces or other areas as designated.
  • Monitor building occupancy data to assist in building-related operational decision making.
  • Serve as a key staff member within the MU team tasked with managing event-specific safety and security within event venues, meeting rooms or adjacent common spaces.
  • Attend weekly event planning & coordination meetings with MU Scheduling & Event Services and Building Operations staff.
  • Serve as an additional staff user for the departmental event management system (Mazevo) to provide support for reserved events within managed facilities.
  • Meet regularly with the Associate Director. Participate in scheduled MU department staff meetings, work sessions or retreats.
  • As a representative of the department and UND, work collaboratively with Memorial Union building users through active, positive, and courteous customer service interactions.
  • Assist the Associate Director with managing daily Memorial Union building operations to include:
  • Serve as the department lead for key systems, communications, & data management logistics and building usage of the Key Watcher management program.
  • Submit electronic door access and key requests, to be approved by Associate Director.
  • Identify building concerns and submit internal facilities work orders to be reviewed for submission to the UND Facilities Management work order system.
  • Coordinate department and building-related telecommunications needs as required. o Assist with the Memorial Union inventory management process.
  • Manage special projects and perform other job duties as assigned.

Student Staff Supervision (Building Managers & Information Desk)

  • Serve as the direct supervisor of the Memorial Union Building Manager and Information Desk student staff teams.
  • Write and maintain job descriptions for direct reporting student positions and ensure all position descriptions incorporate student learning outcomes.
  • Interview, hire, train, evaluate, and terminate student employees. Conduct unit orientation for new hires to include training on safety, security, and emergency procedures. Oversee onboarding and exit interview processes for all students directly supervised.
  • Coordinate student staff scheduling to meet expectations and ensure coverage for event management and building coverage and operational needs to include daytime, evening, weekend shifts during the regular academic year, and summer and holiday/break terms.
  • Motivate and develop student employees by providing ongoing positive and constructive feedback through frequent personal contact. Coordinate and conduct meetings with student employees to foster communication and encourage participation in decision making processes.
  • Empower student employees to resolve problems by educating students on policies and procedures and ways to handle customer concerns and unacceptable customer behavior; handle difficult situations directly when they advance beyond the student’s capability.
  • Implement and coordinate the inclusion of divisional student learning outcomes for student staff; Help student employees connect task accomplishment to learning outcomes to better prepare them for the workplace after graduation.
  • Coach and mentor students on ways they can gain greater responsibility (such as cross-training into other areas, attending Association of College Unions International (ACUI) conferences, attending leadership training, and advancing to student manager positions).
  • Provide department backup support or supervisory direction for other MU student staff as needed by exception (indirect supervisory support).

 Memorial Union Student Employment and Training Program

  • Serves as the departmental lead in the facilitation of the Memorial Union Student Employment Program.
  • Coordination of all department wide student employment work teams and/or committees.
  • Develop training program for all Memorial Union student employees, including department wide in-services.
  • Collaborate with student employee supervisors to create recognition program for student employees, including any established UND recognition efforts through Student Employment.
  • Ensures all student staff position descriptions incorporate student learning outcomes.
  • Develop a way for student employee supervisors to evaluate student employees on learning outcomes communicated via position description.
  • Spearhead a planned recruitment program for student employees utilizing Page Up and any other events targeted at recruiting student employees.
  • Work with Coord Mktg Comm & DS Bus Ops to create student employee marketing and departmental outcomes materials.
  • Provides department backup support or supervisory direction for other MU student staff as needed by exception (indirect supervisory support). 

Required Competencies

  • Intermediate skills using Microsoft Office Suite computer programs (Word, Excel, Outlook).
  • Intermediate experience with computerized data entry/systems or proficiency in using technology tools relevant to operations management.
  • Ability to multi-task and adapt successfully to changing priorities within a fast-paced, high-energy, customer service setting.
  • Demonstrated experience with critical thinking, problem-solving, organizational and written and oral communication skills.
  • Experience using standard office equipment to include multi-line phone systems, copiers, fax machines etc.
  • Possess a student-centered philosophy committed to supporting a work and campus environment focused on inclusion and diversity and the building of campus community.

Minimum Requirements

  • Bachelor’s degree
  • Experience supervising, coaching, advising or mentoring student staff or volunteers within a University or other educational setting.
  • Work experience within a fast-paced, customer service driven departmental unit, program or service area.
  • Two years of directly related or transferable experience with operations management, coordination and execution within a University, hospitality event management or related field.
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Three years of directly related or transferable experience with operations management, coordination and execution within a University, hospitality event management or related field.
  • Experience with staff or student training programs in a paid or volunteer capacity.
