  • $65,000+ annual, Exempt
  • 40 hours per week
  • This position will work onsite.

Purpose of Position

The Application Analyst is a key contributor with shared responsibilities for supporting all the systems used by Facilities, with a emphasis on AssetWorks AiM and ReADY software. The TBD function is a technical role and is also expected to support leadership in continuous process improvement. This position is responsible for application of new technology, and will support, troubleshoot, handle configuration development, and oversee testing of new and existing technology. The TBD will promote a work environment that values and reinforces diversity, integrity, excellent customer service, problem-solving, and collaboration with all stakeholders internal and external to the campus community.

All Facilities Management positions are subject to callbacks twenty-four (24) hours a day, seven (7) days a week. Weekend work as required.

Duties & Responsibilities

  • AssetWorks AiM & ReADY Program Manager for Facilities Management Operations
    • Manage ReADY Space
    • Coordinate and perform thorough testing for software upgrades.
    • Actively monitor ReADY Space software and troubleshoot and resolve issues that arise.
    • Provide UND departments with ReADY Space training in conjunction with Space Management staff.
    • Manage AssetWorks AiM dashboards for Facilities Management Operations.
    • Work closely with FM Operations leadership to develop and maintain dashboards that support operational efficiency and streamline processes.
    • Serve as expert resource and first point of contact for ReADY Space and FM Operations functions of AiM, providing user support, delivering insights, and recommendations; troubleshooting and resolving issues; developing and documenting opportunities for system enhancements.
    • Use problem-solving and analytical skills to research FM Operations issues with software, gather information, analyze the situation, understand it, and formulate an action plan/solution to report to leadership.
    • Develop thorough knowledge of operations and deep understanding of Facilities Management use of AiM to allow for development of value-added services specific to departmental needs.
    • Develop end user training materials and assist with training for FM Operations functions of AiM.
    • Develop and maintain detailed system documentation for Operations functions of AiM, including process flow analysis and descriptions.
    • Collaborate with leadership and AiM users to identify reporting needs for FM Operations and coordinate report development. 
    • Provide excellent, responsive customer service to internal users and external customers and stakeholders.
  • Business & Technical Support Analyst
    • Identify areas where technology can improve operations and efficiency; research and recommend new software or technology.
    • Develop a deep understanding of DocuSign and Microsoft Forms; develop and manage online department forms.
    • Serve as “Technology Coordinator” for all departments that report to the AVP of Facilities Management.
    • Serve as liaison with UIT for IT related questions or concerns.
    • Assist with software setup, troubleshooting, and user training.
    • Document storage & organization management
    • Collaborate with department leaders to assess document storage needs and implement an efficient organizational framework.
    • Develop and maintain a standardized folder structure for digital document storage across all departments within Facilities Management.
    • Establish and enforce document naming conventions and categorization to ensure consistency and ease of access.
    • Develop and distribute user manuals or quick-reference guides for document storage protocols.
    • Provide guidance and training to staff on document management best practices and proper use of shared storage systems.
    • Ensure proper user access controls and permissions are in place to maintain security and confidentiality of files.
    • Support document migration efforts when transitioning to new storage platforms or cloud-based solutions.
    • Conduct periodic audits of folder structures to identify inefficiencies and implement improvements. 
  • Surplus Property Management
    • Supervise surplus property staff, including hiring, training, and performance management.
    • Provide guidance on surplus property handling, safety procedures, and customer service.
    • Develop training materials and conduct workshops on surplus policies and procedures for university staff. 
    • Work with procurement, finance, and facilities management teams to streamline surplus property processes.
    • Ensure compliance with university policies, state regulations, and environmental guidelines.

Minimum Requirements

  • Bachelor's degree in business, data analytics, information systems, computer science, or related degree.
  • Three years of experience in technical/software support.
  • Valid drivers license.
  • Successful completion of a Criminal History Background Check

Preferred Qualifications

  • Experience as an application support analyst, report developer/writer, or data management/analysis.
  • Experience with SQL and java.
  • Experience with open-source report writing software such as BIRT.
  • Experience with business intelligence software for reporting.
  • Experience with AssetWorks software or other work management system.
